Separate room scheduling from the meeting system
A room booking system manages reservations for a shared space. It is not the same as the room's video conferencing equipment, and a scheduling display does not by itself provide a camera, microphone or meeting-platform license. Start with the organization's calendar platform, room inventory and booking rules rather than selecting a screen first.
Define the room record and booking policy
Prepare a room register with a unique room name, location, capacity, available equipment and calendar owner. Decide who can reserve the space, how recurring bookings are handled, what information appears outside the room and who can change or cancel reservations.

Check platform-specific requirements
As one platform example, Microsoft's official Teams panels overview describes room reservations, booking adjustments and remotely managed settings. It also identifies licensing, PoE/network access and manufacturer installation guidance as deployment considerations. Features depend on the device, license and configuration; the example does not establish equivalent support for every scheduling product.
Ask the selected platform and device manufacturer to confirm current licensing, supported calendar configuration, mounting method and network requirements for the proposed deployment. Do not assume that an existing display supports Teams or that a booking license is included with conferencing hardware.
Run a small-room pilot before expanding
- Create a reservation through the normal calendar workflow and verify that the room display reflects it.
- Test the approved at-door booking and cancellation paths, including a conflict with an existing reservation.
- If check-in or release is enabled, test the agreed policy with both attended and unattended reservations.
- Verify displayed information, operating hours and administrator access against the organization's policy.
- Document the expected behavior during lost connectivity and recovery, using the selected platform's supported procedure.
Record the device model, software version, license and configuration with the pilot results. Agree measurable acceptance criteria before applying the configuration to additional rooms; do not promise utilization or cost savings without measuring the actual deployment.
Coordinate with the room equipment brief
Use the video conferencing room procurement checklist for audio, camera, display and presentation requirements. Keep these workstreams linked but itemized so that booking panels, room equipment, cabling, licenses, installation and support have clear owners and exclusions.
Prepare an enquiry
Provide the number of rooms, calendar platform, existing devices, mounting surfaces, available network connections and desired reservation policy. Request a pilot scope and an itemized quotation; confirm implementation services, subscriptions, support hours and renewal terms separately.
