Start with a room-specific brief

A conferencing project connects people in a physical room with remote participants. Before selecting equipment, record the room dimensions, seating layout, existing displays, meeting platform and presentation workflow. This guide is a procurement checklist, not a promise that any listed product supports every room or platform.

Choose the meeting workflow first

Decide whether meetings will run on a dedicated room system or on a participant's laptop using room peripherals. Include guest meetings and content sharing in that decision. Microsoft's Teams Rooms planning guidance calls for an inventory of room capabilities, appropriate peripherals, site and network preparation, and an assigned operations owner. Room licensing is a separate requirement to verify before purchase.

Use product information without assuming a complete bundle

For a laptop-based conferencing workflow, compare the existing CX-50 Gen 2 regional bundle listing with the room requirements. Agree acceptance tests before ordering

  1. Run an external test call from the proposed room and check speech from each intended seating position.
  2. Check that remote participants can see the required seats and read shared content.
  3. Exercise the agreed wired, wireless and guest-meeting workflows, including disconnecting and reconnecting a laptop.
  4. Record the final device and software versions, account owner, cable labels and support handover.

Put measurable acceptance criteria and the responsible party on the project brief. Confirm separately whether the quotation covers cabling, mounting, commissioning, platform licenses, training and ongoing support. A product enquiry is not an installation or service-level commitment.
